KYC & Identity Verification Policy

1. Introduction

This KYC & Identity Verification Policy ("KYC Policy") describes how LapinoPay collects, processes, stores, and disposes of identity verification documents and related data. This document is a policy description; it does not constitute legal advice. Compliance with anti-money laundering (AML) and know-your-customer (KYC) regulations is mandatory. By using LapinoPay and submitting KYC documents, you agree to this policy. LapinoPay reserves the right to require KYC at any time and to deny or revoke access for failure to comply.

2. Document Collection and Review

2.1 Documents Required

We collect government-issued ID (passport or national ID), proof of address, and other documents as required for your verification level. You are solely responsible for providing accurate, authentic, and legible documents. Submitting false, forged, or misleading documents may result in immediate rejection, account termination, and reporting to authorities.

2.2 Review Process

Your documents are stored securely and made available to authorized LapinoPay administrators for review. Only trained staff with legitimate need may access your documents. Approval or rejection decisions are made at LapinoPay's sole discretion. We are not obliged to provide detailed reasons for rejection. Decisions are final unless we expressly agree otherwise.

3. Document Retention

3.1 Rejected Applications

If your KYC application is rejected, your documents and related personal data will be deleted from our systems. We will not retain your verification documents after rejection, except where required by law, for defending legal claims, investigating fraud, or cooperating with authorities.

3.2 Approved Applications

If your KYC application is approved, your documents and related data will be stored for three (3) years from the date of approval, or longer if required by applicable law, regulatory obligation, or ongoing legal proceedings. This retention is necessary for regulatory compliance, audit, and legal obligations.

3.3 Exceptions

LapinoPay may retain KYC data beyond the periods above where retention is required by law, for the establishment or defense of legal claims, for fraud or AML investigations, or where your account has been suspended or terminated due to suspected illegal activity (see Terms of Service Section 2). In such cases, data may be retained indefinitely as necessary.

4. Data Protection

Your KYC data is protected in accordance with our Privacy Policy. Where GDPR or other data protection laws apply, we process data in compliance with such laws. Access is restricted to authorized personnel. We use industry-standard encryption and security measures to safeguard your documents. LapinoPay does not guarantee that our systems are immune to unauthorized access; you use our services at your own risk.
